onleeUnlock ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy outlines how we collect, use, and safeguard your information when you use onleeUnlock, an AI-powered meeting assistant application that operates within the Google Workspace environment.
Adherence to Google API Services User Data Policy
onleeUnlock's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Acceptance of This Policy
When you install onleeUnlock and grant the necessary permissions, you acknowledge that your information will be used in accordance with this Privacy Policy.
AI and Machine Learning Policy
onleeUnlock does not use Artificial Intelligence (AI) or Machine Learning (ML) models for any purpose within the application.
We do not use any user data obtained through Google Workspace APIs or any other source to train, develop, or improve any generalized AI or ML models.
Information We Collect and Use
Google Workspace Data: To function within Google Workspace, onleeUnlock requires access to certain Google services based on the scopes you grant. This data is used solely to provide onleeUnlock's functionality as described below. The specific data we access depends on the scopes you grant, which are detailed below:
https://www.googleapis.com/auth/calendar.addons.current.event.read: To read details of the current calendar event when the add-on is open.
https://www.googleapis.com/auth/calendar.addons.current.event.write: To write or update details of the current calendar event when the add-on is used.
https://www.googleapis.com/auth/calendar.addons.execute: To allow the add-on to execute actions within Google Calendar.
https://www.googleapis.com/auth/script.external_request: This scope is to connect with Google APIs.
https://www.googleapis.com/auth/calendar.events: To access and manage your calendar events to provide meeting assistance features.
https://www.googleapis.com/auth/calendar.readonly : To access calendar details and validate Id is valid and get calendar details for room name.
https://www.googleapis.com/auth/userinfo.email: To obtain your email address for account identification and service delivery.
https://www.googleapis.com/auth/userinfo.profile: To obtain basic profile information for a more personalized experience.
https://www.googleapis.com/auth/script.scriptapp: Necessary for the add-on to run within the Google Workspace environment.
https://www.googleapis.com/auth/script.storage: To store user-specific settings and preferences within the script.
https://www.googleapis.com/auth/script.container.ui: Additional scope needed to run the script as an add-on.
https://www.googleapis.com/auth/admin.directory.resource.calendar.readonly: To read calendar resources if your organization's settings require it for specific functionalities.
https://www.googleapis.com/auth/admin.directory.user.readonly: To identify if the user connected is admin of the domain worksapce this scope allow to check if user can access the endpoint to view user of the domain.
Specific Data Access and Use:
Your email address (obtained via https://www.googleapis.com/auth/userinfo.email): Accessed to identify your account, link your usage to your workspace domain for licensing purposes, and check license validity. This data is not stored beyond what is necessary for this check during your session.
Basic profile information (obtained via https://www.googleapis.com/auth/userinfo.profile): Accessed for a more personalized experience within the application interface. This data is not stored.
Calendar Event Details (obtained via https://www.googleapis.com/auth/calendar.events, https://www.googleapis.com/auth/calendar.addons.current.event.read, https://www.googleapis.com/auth/calendar.addons.current.event.write): Accessed when you use the application within the context of a specific calendar event. This access allows the application to read details related to that event. For example, when you select a calendar event, the application accesses its details to check if a meeting room associated with that event can be freed up. The specific event details are processed in real-time to provide functionality related to that event and are not stored by onleeUnlock.
Administrator Permissions Check (utilizing https://www.googleapis.com/auth/admin.directory.resource.calendar.readonly for administrators): For users identified as administrators, this scope is used solely to check if they have the necessary permissions to manage calendar resources within your organization. No specific resource data is stored or collected by onleeUnlock as part of this check; it is purely a verification of administrative capability.
Room details : Room details (Id, name, time before to free up, date setup, admin who setup) are saved in our database to let onleeUnlock manage the unbooking system. When a room is deleted from onleeUnlock this data is deleted in our system. Not possible to recover the informaiton.
User Settings and Preferences : We store specific settings and preferences you configure within the application (e.g., preferred view settings) locally within the Google Apps Script environment associated with your usage. This data is stored to provide a consistent user experience.
We adhere to the principle of least privilege by requesting only the scopes necessary to provide onleeUnlock's functionality. We do not request broad, global access to your Google Workspace data.
Data Storage and Security
All infrastructure supporting onleeUnlock is hosted on Google's secure infrastructure.
We are committed to protecting your data and privacy. We implement reasonable security measures to safeguard your information from unauthorized access, use, or disclosure.
We do not store meeting data or calendar event details beyond what is necessary to provide the specific functionality you are using within your current session.
Data Retention
We retain your Google Workspace access only as long as necessary to provide the onleeUnlock service and as required by Google Workspace. Data accessed to perform a specific function (like checking a room's availability) is processed in real-time and not retained by onleeUnlock afterwards. User settings and preferences are retained via script storage for continued use of the application.
Sharing of Information
We do not sell, trade, or rent your personal information to third parties.
We do not share user data with external AI models as per our policy in Section 3.
We may disclose information if required by law or legal process.
Your Rights
You have the right to control the data onleeUnlock accesses through Google Workspace's permission settings. You can revoke onleeUnlock's access to your Google Workspace data at any time through your Google account settings. Removing the add-on will also remove its access.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated Privacy Policy within the onleeUnlock application or by other means.
